Event Catering

What is the difference between a catered and self-pay food truck event?

The main difference is who pays the truck and when.

  • In a catered event, you pay upfront for your guests' meals at an agreed per-person rate. FTL plans the menu with you, handles all communication with the truck, and manages logistics from booking to payout. You know your total cost before the event.
  • In a self-pay event, your guests pay the truck directly on the day. You pay a booking fee upfront and guarantee a sales minimum, this is how the truck knows how much food to prepare. If sales fall short of the minimum, you cover the difference. There is no menu customization in self-pay events.

If your guest count is uncertain or you want to cover some but not all meals, a voucher event sits between the two you pre-purchase a set number of meal credits, guests redeem them at the truck, and you settle the balance after.

How to book a food truck: Our 5 step process

  1. Submit your request. You can do so here on our website.
  2. We use our extensive database to select the very best food truck for your event. We don’t just send out any truck to you, based on your specific event, we match all our food trucks on popularity, reliability and the type of cuisine you need.
  3. Once we find a great fit, paying the deposit secures the booking and locks in the truck for your event. We handle all the negotiations, invoicing and paperwork through our catering coordinators working just for you.
  4. Acting as your event planner, your catering coordinator manages the logistical details such as speed of service, menu, arrival times and parking instructions. Keeping in touch with your truck of choice all the way to the date of the event.
  5. During the event, the truck arrives ready to serve and even after the event, we handle the final payout to the vendor so you can focus on enjoying the experience with your guests.

What is a Minimum Guarantee and why is it required?

A minimum guarantee is how we make sure your guests are taken care of. It gives the truck the confidence to bring the right staff and prep enough food so service is fast and nothing runs out. Because trucks buy fresh ingredients and schedule staff specifically for your event, the minimum also protects them if attendance drops below expectations.

  • The Benefit to You: It guarantees the truck is fully prepared to give your guests a great experience. By providing a guarantee it gives the truck confidence to bring the staff and prep to serve quickly and not run out of food. If you aren’t confident on how many people will come, the truck has less information than you so the guarantee solves that information asymmetry.
  • The Cost: Typical minimums range from $600 to $1,200 per truck for a standard shift, though weekends and holidays may be higher.

How far in advance do I need to book a food truck?

To get your top-choice truck, sooner is always better.

  • Weddings & Large Events: We recommend booking 3 to 8 months in advance, especially for weekends.
  • Smaller Parties: 4 weeks is ideal, but depending on the date we can often make shorter notice work.
  • Last Minute: Because of our large network, we can sometimes work miracles on short notice, so don't hesitate to ask!

What is the cancellation policy?

We understand plans change, and our cancellation policy is designed to protect you and the food trucks that have turned down other work to save your date.

  • 30+ Days Notice: We offer a 50% refund.
  • Within 1 Week: Your payment is non-refundable.

Can food trucks cater inside a building or in bad weather?

Yes! There are a variety of indoor options from setting up buffet tables to online ordering.

How much space do I need for a food truck to park?

Typically 30-45 feet is sufficient for food trucks. We are happy to walk you through steps for loading in the food truck when they arrive.
